SECTION 553 CONFERENCE REGISTRATION FEES

A. When the sponsoring organization will accept payment after the conference without charging a penalty, a purchase order should be issued. Payment for the conference fees will then be made after the conference directly to the sponsoring organization through the normal vendor payment process.

B. If the sponsoring organization will not accept a purchase order, the department may request advance payment of the registration fees. Registration can be paid in advance if the following criteria are met:

1. The registration materials indicate that a purchase order will not be accepted;

2. The registration materials indicate that payment must be submitted with the registration form;

3. The registration materials indicate that the registration fee is refundable or substitutions are allowed should the registrant not be able to attend; and

4. The registration materials indicate that the registration fee must be paid by a certain date to either guarantee registration or to receive a discount.

A copy of the registration materials must be provided with the request for advance payment of the fees.

C. If the sponsoring organization will not accept a purchase order, and if the registration fees are not paid in advance, the fees paid directly by the traveler can be reimbursed on the State of Oklahoma Travel Voucher after travel status has been completed.
